Am I working on a task, case or project that...

  • is legally binding, such as agreements and associated correspondence/memoranda/case processing, i.e. a case in which access to documents may later be requested or could trigger a complaint?
  • requires that I or others will later have to make decisions or rulings, for example applications for funding, planning of research projects, approval of rules, strategies or policies, establishment of work procedures or internal rules and procedures?
  • includes information that needs to be saved for posterity, for example agendas, minutes and other meeting material from management meetings, the local liaison committee, the occupational health and safety committee, the school forum, important working groups and committees appointed by the management?
  • includes documents or knowledge that I do not want to lose, or that would be time-consuming or almost impossible to reproduce, and that could be relevant for me or my colleagues in the future?

Examples could include:

  • Agendas, appendices and minutes from meetings in official organisations
  • Correspondence about a formal agreement or research application or which leads to a decision/ruling or which is relevant to the case
  • Internal documents in their final version
  • Cases of a special or principled nature as well as case presentations and associated appendices that have been submitted to a governing body, for example the board of studies.
  • Collaboration agreements with external contacts, government agencies and authorities, other universities/research institutions, special interest organisations, collaboration with companies and other organisations that includes (for example) drafts of external agreements of any kind, negotiations or contracts.
  • Contract-like arrangements, for example in relation to procurement, the loan of equipment or analysis work.
  • Permission or approval from official government agencies and institutions.
